PROJECT PLANNING PHASE
The Project Planning Phase is where we build upon the founda琀椀on laid in the Project Startup Phase
and create the project speci昀椀c Move & Ac琀椀va琀椀on plan. This phase is crucial to the success of the
project as this is where we assemble the detailed plan and documenta琀椀on that will be used to manage
the Project Execu琀椀on Phase. There are six primary ac琀椀ons and tools that we use in this phase to plan
and detail the en琀椀re project: Project Scope Reviews, Project Schedule Reviews, Planning Mee琀椀ngs,
Cri琀椀cal Path Method (CPM) Schedule, Ac琀椀on Tracker, and Move Manual.

PROJECT SCOPE REVIEWS
One of the 昀椀rst tasks our team will perform is an internal review of the full Project Scope to
con昀椀rm we’ve iden琀椀昀椀ed all par琀椀es that need to be involved for a successful Move & Ac琀椀va琀椀on
Phase. This could include senior administra琀椀ve leadership, department directors, support
services (IT, Biomed, EVS, Materials Management, etc.), contractors, consultants (MEQ, FF&E,
Artwork, etc.), and vendors.

PROJECT SCHEDULE REVIEWS
As part of the ini琀椀al planning e昀昀ort, our team will perform an in-depth review of the Project
and Construc琀椀on schedules to ensure we understand all per琀椀nent dates related to Move
& Ac琀椀va琀椀on. This could include decommissioning, swing space coordina琀椀on, ac琀椀va琀椀on
planning, early procurement, FF&E delivery requirements, move & ac琀椀va琀椀on 琀椀melines, GoLive, and other milestones. The key here is for our team to understand the path to successful
Go-Live and accurately plan our ac琀椀vi琀椀es to achieve it.

PLANNING MEETINGS
Once we have a 昀椀rm understanding of the project scope and schedule, our team will host a
series of mee琀椀ngs with the full Project Team to begin crea琀椀ng the detailed execu琀椀on plan for
the Move & Ac琀椀va琀椀on phase. These mee琀椀ngs are meant to be a collabora琀椀ve process with
all team members to ensure every detail is carefully coordinated, responsibili琀椀es are clearly
de昀椀ned, as well as foster alignment and ownership.

CRITICAL PATH METHOD (CPM) SCHEDULE
Throughout the Planning Mee琀椀ngs, our team will populate and re昀椀ne our CPM and phase
speci昀椀c Move & Ac琀椀va琀椀on schedules to map out the overall 琀椀meline. These comprehensive
schedules are crucial to our success and provide the following fundamental a琀琀ributes:
• Encompass all stages of Move & Ac琀椀va琀椀on to include kicko昀昀 mee琀椀ngs, planning,
substan琀椀al comple琀椀on, FF&E deliveries & installa琀椀ons, connec琀椀vity, tes琀椀ng, training,
cleaning, ribbon cu琀�ng, Go-Live, post-move support, decommissioning of exis琀椀ng
spaces, and more,
• Incorporates task dependencies (predecessors & successors) to allow accurate and
e昀케cient adjustments as the schedule evolves,
